Capitol Home Services LLC — Residential & Commercial Cleaning Services

1. Services
Capitol Home Services LLC ("Company," "we," "us") provides residential and commercial cleaning services as described on our website and agreed upon during the intake and scheduling process. These Terms of Service ("Terms") govern your use of our website, scheduling system, and all services we provide.
By booking a service, submitting a form, or otherwise engaging with us through our website or in person, you ("Client," "you") agree to be bound by these Terms. If you do not agree, do not use our services or website.
We reserve the right to decline or discontinue service to any client at our sole discretion, including but not limited to situations involving unsafe conditions, harassment of staff, or repeated violations of these Terms.
2. Scheduling and Appointments
All appointments are scheduled through our online booking system or by contacting us directly. Appointment confirmations will be sent via email or text message. It is your responsibility to ensure the contact information you provide is accurate and current.
We make reasonable efforts to arrive within the scheduled window. However, appointment times are estimates and may be affected by prior appointments, traffic, or unforeseen circumstances. We will notify you as soon as practicable if a significant delay occurs.
For recurring service plans, appointment frequency and schedule will be established at the time of enrollment. We reserve the right to adjust scheduling with reasonable advance notice.
3. Cancellation and Rescheduling Policy
You may cancel or reschedule an appointment free of charge if you provide notice more than 48 hours before the scheduled service time.
Cancellations or reschedule requests made within 24 to 48 hours of the scheduled service time will not incur a fee.
Cancellations made less than 24 hours before the scheduled service time will be subject to a late cancellation fee equal to 50% of the quoted service price. This fee compensates the Company for reserved labor, scheduling, and preparation costs.
No-shows (failure to provide access at the scheduled time without prior notice) will be charged the full quoted service price.
The Company reserves the right to cancel or reschedule appointments due to severe weather, staff emergencies, or other circumstances beyond our control. In such cases, no cancellation fee will be charged to the Client.
4. Access to Premises
You are responsible for ensuring our cleaning team can access the premises at the scheduled time. Access may be provided by being present at the property, providing a key, access code, lockbox combination, or other entry method agreed upon in advance.
If you provide a key or access code, you consent to our team entering the premises for the purpose of performing cleaning services, even if you are not present. Keys and codes will be stored securely and used only for scheduled service appointments.
If our team is unable to access the premises at the scheduled time due to circumstances within your control (locked out, code changed without notice, no one available to grant entry), the appointment will be treated as a no-show and charged accordingly.
You agree to secure or remove valuables, sensitive documents, weapons, controlled substances, and any items you do not want our team to handle. The Company is not responsible for items left unsecured in the cleaning area.
5. Pricing and Payment
Service pricing is provided during the intake process and may be displayed on our website. Quotes are estimates based on the information you provide (square footage, number of rooms, condition, service type, etc.). Final pricing may vary if the actual scope differs materially from what was described.
We will communicate any pricing adjustment before beginning work if the scope differs significantly from the original quote. You may decline additional services at that time.
Payment is due at the time of service or as otherwise specified in your service agreement. We accept the payment methods listed on our website. Recurring service plan billing will occur on the schedule established at enrollment.
Invoices not paid within 30 days of the due date may be subject to a late fee of 1.5% per month, or the maximum amount permitted by applicable law, whichever is less. The Company reserves the right to suspend services for accounts with outstanding balances.
6. Supplies and Equipment
The Company provides all standard cleaning supplies and equipment necessary to perform the agreed-upon services. If you have specific product preferences, allergies, or sensitivities, you must communicate these during the intake process or prior to each appointment.
If you request that we use client-supplied products or equipment, we will make reasonable efforts to accommodate such requests. However, the Company is not liable for any damage caused by client-supplied products, nor for cleaning results that differ from our standard when using non-standard products or equipment.
7. Satisfaction and Complaints
Your satisfaction is important to us. If you are not satisfied with any aspect of a cleaning service, you must notify us within 24 hours of service completion. We will work with you to resolve the issue, which may include a re-clean of the affected area at no additional charge.
Claims submitted after 24 hours may still be reviewed but are not guaranteed resolution. The Company's liability for any dissatisfaction claim is limited to re-performing the service or issuing a credit toward future service, at the Company's discretion.
8. Liability and Insurance
The Company carries general liability insurance. In the event of accidental damage to your property caused by our staff during the course of providing services, you must notify us within 24 hours with a description and, where possible, photographic documentation of the damage.
We will investigate all reported damage claims in good faith. Valid claims will be processed through our insurance carrier. The Company's liability for property damage is limited to the cost of repair or replacement at fair market value, subject to the terms and limits of our insurance policy.
The Company is not liable for: (a) damage to items that are fragile, improperly secured, or in pre-existing poor condition; (b) damage caused by pre-existing conditions of the premises; (c) normal wear and tear; (d) loss or damage to cash, jewelry, or other valuables left unsecured; or (e) damage caused by client-supplied products or equipment.
The Company is not liable for any indirect, incidental, consequential, or punitive damages arising from or related to the services provided.
9. Client Responsibilities
You agree to provide a safe working environment for our cleaning team. This includes maintaining premises free from hazards that are not apparent, disclosing known hazards (e.g., pest infestations, mold, structural issues, aggressive pets), and ensuring that pets are secured during service.
You agree to treat our staff with respect. The Company has a zero-tolerance policy for harassment, discrimination, abusive language, or threatening behavior directed at our employees. Violation of this policy may result in immediate termination of services.
You are responsible for the accuracy of information provided during the intake process, including property details, access instructions, and contact information.
10. Recurring Service Plans
Recurring service plans (weekly, bi-weekly, monthly, or other intervals) are offered at the pricing and terms established at enrollment. Plan pricing may be adjusted with a minimum of 30 days' written notice.
You may cancel a recurring plan at any time with at least 7 days' notice before the next scheduled service. Cancellation of a plan does not waive fees for services already rendered or late cancellation fees incurred.
The Company may modify plan terms, pricing, or availability with 30 days' advance notice. If you do not agree to modified terms, you may cancel the plan without penalty.
11. Photography and Marketing Consent
With your prior written or electronic consent, the Company may photograph or video-record the results of cleaning services performed at your property. Such media may be used for the Company's marketing, advertising, social media, website, and promotional materials.
Consent is entirely voluntary. Declining to grant consent will not affect the quality, pricing, or availability of services. You may grant or decline consent during the intake process or at any time by contacting us in writing.
You may revoke your consent at any time by notifying us in writing. Upon revocation, we will make commercially reasonable efforts to remove your content from future materials.
12. Intellectual Property and Website Use
All content on our website, including text, images, logos, design, and software, is the property of Capitol Home Services LLC or its licensors and is protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from our website content without our prior written consent.
You agree to use our website and booking system only for lawful purposes and in accordance with these Terms. You agree not to submit false, misleading, or fraudulent information through our forms or booking system.
13. Privacy
We collect and use personal information as described in our Privacy Policy. By using our services, you consent to the collection and use of information in accordance with our Privacy Policy.
Information submitted through our intake forms, contact forms, and booking system is used solely for the purpose of providing and improving our services, communicating with you, and processing payments. We do not sell your personal information to third parties.
14. Limitation of Liability
To the fullest extent permitted by applicable law, the Company's total liability to you for any and all claims arising out of or related to these Terms or the services provided shall not exceed the total amount you paid to the Company for services during the three (3) months immediately preceding the event giving rise to the claim.
15. Indemnification
You agree to indemnify and hold harmless Capitol Home Services LLC, its owners, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorney's fees) arising out of or related to: (a) your breach of these Terms; (b) your negligence or willful misconduct; (c) inaccurate information you provide; or (d) hazardous conditions on your premises that you failed to disclose.
16. Dispute Resolution
In the event of a dispute arising from these Terms or the services provided, both parties agree to first attempt to resolve the matter through good-faith negotiation. If the dispute cannot be resolved informally within 30 days, either party may pursue resolution through mediation or the Arlington County General District Court in Arlington, Virginia.
These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to conflict of law principles.
17. Modifications to Terms
The Company reserves the right to update or modify these Terms at any time. Changes will be posted on our website with an updated effective date. Continued use of our services after changes are posted constitutes acceptance of the revised Terms.
For recurring service plan clients, material changes to these Terms will be communicated via email at least 30 days before taking effect.
18. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall remain in full force and effect.
19. Entire Agreement
These Terms, together with our Privacy Policy and any service agreement or quote provided to you, constitute the entire agreement between you and Capitol Home Services LLC with respect to the subject matter hereof and supersede all prior agreements, representations, and understandings.
